Why Can a Simple-Looking Custom Fastener Be Difficult to Source?

For OEM equipment manufacturers and machine builders, some custom fasteners can look relatively simple on a drawing but still be difficult to source.

The part may have only a few features, no obviously complex geometry and requirements that appear achievable individually. Yet one supplier may decline to quote, another may ask for changes, while others may provide very different prices, MOQs or lead times.

A simple-looking part is not necessarily a straightforward manufacturing fit. Sourcing difficulty can come from the relationship between the part requirements, the manufacturing process and the production conditions—not simply from how complex the drawing looks.

Why Can a Simple Part Be Difficult to Source?

01 · Driving Constraints

One Requirement May Drive the Manufacturing Difficulty

A part does not need many complex features to create a manufacturing constraint. A particular diameter, length, thread, tolerance, local feature, material or treatment requirement may have a much greater influence on the manufacturing approach than the overall appearance of the part suggests.

02 · Interactions

The Combination of Requirements Matters

Individual requirements may each be achievable while their combination changes the manufacturing fit. For example, geometry, dimensional requirements, material, heat treatment and surface requirements may need to be considered together rather than as separate specifications. The question is therefore not only whether each requirement can be achieved, but how the requirements interact within the manufacturing approach.

03 · Supplier Capability

The Part May Not Fit a Supplier's Normal Process

A supplier may be capable of producing similar parts while the specific drawing falls outside the process, equipment range or production setup that normally makes those parts practical for that supplier. Difficult to source does not automatically mean difficult to manufacture. Sometimes it means the part does not fit the manufacturing approach of the suppliers being considered.

04 · Production Context

Production Conditions Can Change the Fit

Quantity and production stage also matter. An approach suitable for prototypes or a small batch may not be practical for repeat production, while a process designed around higher volumes may not fit a low initial quantity. The same drawing can therefore have different sourcing difficulty under different project conditions.

What Does Sourcing Difficulty Actually Tell You?

When several suppliers hesitate to quote a simple-looking part, it can be tempting to conclude that the drawing itself is unusually difficult.

That is not always the most useful conclusion.

Core Principle Sourcing difficulty is often a signal to identify which requirement is driving the manufacturing response and whether the suppliers being considered have a manufacturing approach that fits the complete part and project. This distinction matters because changing the drawing and changing the manufacturing approach are not the same decision.

When Is the Sourcing Difficulty Worth Reviewing?

A simple-looking part may be worth reviewing from the manufacturing side when the sourcing difficulty seems disproportionate to what the drawing appears to require.

  • A relatively simple part repeatedly receives no-quote responses.
  • Suppliers can manufacture similar parts but hesitate over this specific drawing.
  • MOQ is unexpectedly high for the required project quantity.
  • Pricing appears unusually high compared with the apparent complexity of the part.
  • A supplier asks to change one tolerance, feature, material, or treatment before quoting.
  • The part was sourced successfully at one quantity or project stage but becomes difficult to source under another.

These situations do not automatically mean the part itself is unusually difficult to manufacture. They are signals that the fit between the part requirements, manufacturing approach, supplier setup, and project conditions may be worth reviewing.

What Should Be Reviewed When a Part Is Difficult to Source?

Before assuming the part needs to be redesigned or a requirement relaxed, consider:

Which feature or requirement is creating the sourcing difficulty?
Is the difficulty caused by technical feasibility or by process and equipment fit?
Are several individually achievable requirements becoming difficult to manufacture together?
Does the proposed manufacturing approach fit the required quantity and production stage?

These questions can help clarify whether the sourcing difficulty is being driven mainly by the part requirements themselves, by manufacturing-process fit, by supplier setup, or by the project conditions around the part.

What Helps With a Manufacturing Review?

If a simple-looking part has been unexpectedly difficult to source, the drawing alone may not explain what is creating the sourcing difficulty. Reviewing the drawing together with the project conditions and what has happened during sourcing can help identify what may be driving the mismatch.

Is a Simple-Looking Part Proving Unexpectedly Difficult to Source?
